Important dates for employees during Workday transition

As UW-Madison and FP&M prepare for the transition to Workday on July 1, employees may need to take a few extra steps when updating personal information, tracking time, and reporting paid time off in the lead-up to this change. Keeping these key dates and deadlines in mind can help ensure time and time off are reported accurately.

  • May 30, 2025 – Last day for university staff to submit vacation exception request form.
  • June 14, 2025 – Last day to update MyUW information (personal details, 403b, direct deposit, W-4).
  • June 14, 2025 – Last day to submit and approve June A timesheets (university staff).
  • June 14, 2025 – Academic staff: last day to submit time off requests and no leave taken reports with effective dates through June 28. Unexpected absences June 14–28 should be emailed to payroll@fpm.wisc.edu with name, employee ID, date and hours. Leave requests with effective dates after June 28 should not be entered in current system.
  • June 14, 2025 – Last day for most employees to complete required classes:  preventing sexual harassment, sexual violence, cybersecurity, responsible employee, campus security authority, and HIPAA. Emails with class links will be sent. Custodial staff needing language support have an extension.
  • June 28, 2025 – Last day for university staff to submit and approve June B timesheets.
  • June 28, 2025 – Last day student hourly and academic staff non-exempt employees can enter time onto their timesheets.
  • June 29, 2025 – First day physical time clocks go live for the Custodial department.
  • June 29, 2025 – First day all employees will need to track hours worked and absences manually. Enter into Workday after launch.
  • July 7, 2025 – Workday goes live. Enter all new and backdated information into Workday.
