By now, you’ve probably heard about Workday, a cloud-based software platform UW-Madison will begin using in July. Workday will replace multiple administrative systems to help streamline human resources (HR), payroll, and financial data in one system across the university. How Workday impacts you
No matter your role with FP&M, Workday will affect you, but your experience with Workday depends on several factors. For most employees, Workday will serve as a hub to do many of the tasks currently managed in “My UW,” such as managing your employment information, submitting time and absence requests, updating payroll elections, and more. For supervisors, finance administrators, or HR administrators, there are additional processes managed through this new software.

Employees
Some of the ways employees will use Workday include:
- Updating personal information, including name, address, and emergency contact
- Managing direct deposit accounts and tax withholdings
- Viewing and printing payslips
- Submitting and managing time off and leaves of absence
- Submitting and tracking expense reports
- Viewing benefits information
- Accessing job-related training and learning opportunities

Supervisors
Anyone who manages or supervises UW faculty or staff may use Workday to:
- View and approve their team’s time-off requests and leaves of absence, as well as timesheets
- Enroll or assign learning courses to their staff
- Complete onboarding setup for new hires, including sending welcome messages
- Generate reports using real-time data
- Start a request to hire

Administrative Transformation Program (ATP)
The Workday transition is part of the wider Administrative Transformation Program (ATP), a UW-Madison and Universities of Wisconsin-wide initiative to standardize and simplify how finance, human resources (HR), and research administration tasks get done across all UW institutions, allowing staff to refocus valuable time on the collective mission of teaching, research, and public service.
