Workday is now live at FP&M and UW-Madison! You can access Workday through a new tile in MyUW. This new system will help make finance, human resources, and research administration processes more consistent and efficient. Every UW employee will use Workday for various aspects of their job, helping make tasks easier and more connected. The best way to get started is to explore Workday yourself. We hope you will find it easy to use and navigate.

How Workday impacts you

No matter your role with FP&M, Workday affects you, but your experience with Workday depends on several factors. For most employees, Workday serves as a hub to do many of the tasks currently managed in “My UW,” such as managing your employment information, submitting time and absence requests, updating payroll elections, and more. For supervisors, finance administrators, or HR administrators, there are additional processes managed through this new software.

Some of the ways employees use Workday include:

  • Updating personal information, including name, address, and emergency contact
  • Managing direct deposit accounts and tax withholdings
  • Viewing and printing payslips
  • Submitting and managing time off and leaves of absence
  • Submitting and tracking expense reports
  • Viewing benefits information
  • Accessing job-related training and learning opportunities

Anyone who manages or supervises UW faculty or staff may use Workday to:

  • View and approve their team’s time-off requests and leaves of absence, as well as timesheets
  • Enroll or assign learning courses to their staff
  • Complete onboarding setup for new hires, including sending welcome messages
  • Generate reports using real-time data
  • Start a request to hire

How do you access Workday

How do I access online Workday training?

Online training modules for Canvas are on the Universities of Wisconsin (also known as UW System)’s Canvas system. Although most of our training is in UW-Madison’s Canvas, these lessons are in the UW System’s “Shared Services” Canvas.

You can find a link to the system in the Workday tile on MyUW.

The Workday app has been installed on FP&M Apple devices. You can also install the Workday Mobile application (app) on your device(s) (iPhone, iPad, Android, tablet, etc.) to submit time-off requests and expense reports, view payslips, and more. Please see Installing Workday on a Mobile Device for directions on how to install the app and use organization ID: wisconsin.

Where can I find all the Workday training resources?

First, start with FP&M’s Workday training page. Here, you can find online and in-person training sessions, organized by role.

All of FP&M’s Workday training events are here. You can get one-on-one help at drop-in office hours with FP&M’s Finance and HR teams.

UW System’s Workday training page and UW-Madison’s training page both have many videos, tutorials and more.

Additionally, in-person multi-shift, multi-language training will be offered.

Should I log into Workday at the beginning of my workday?

Best practice is to log in daily to check over your tasks and messages. You can also allow your app to send you notifications on your mobile device, if that is helpful.

How do I enroll in a training course?

Once you have opened the Workday course catalog, you will see a list of courses. See this document for directions on how to log into UW System’s Canvas to access Workday training. Next to each course, you’ll see an “Enroll in Course” link, as seen below:

I am a supervisor. What do I need to do?

Vacation Year to Date Balance = Vacation carried over from the previous fiscal year.

When do supervisors need to complete FY25 Summary Evaluations?

The FY25 Summary Evaluation in PMDP must be completed by Aug. 29, 2025.

When should supervisors sign up for Performance Management Workday Walkthrough sessions?

Sign up for Performance Management Workday Walkthrough sessions after your PMDP evaluations are done. You do not need to complete this task immediately. Workday setup tasks are due Oct. 15, 2025.

When should FY26 goals and expectations be submitted in Workday?

Oct. 15, 2025.

Do I need to update my direct deposit details with the new payroll system?

No, direct deposit information will transfer from HRS (the old system) to Workday.
